A missed call during an outage is rarely just a missed call. It can be a patient unable to reach a clinic, a customer cancelling a job, or a supplier left without an answer when timing matters. For longer outages, staff may need to move to mobile devices, a backup site or a location with generator power. Test actual run time rather than assuming a UPS will last all day.

For larger sites, network design matters. A secondary service that enters the same building through the same pathway as the primary connection may not protect against a local cable incident. Enterprise organisations may need diverse access paths, automatic failover, managed firewall configuration and monitoring to make redundancy meaningful.

Make remote call handling part of the plan

Remote work is often the fastest recovery option, but only when staff have the tools and permissions ready before an incident. A business phone app should be installed and signed in on approved devices. Key staff should know how to change their availability, transfer calls, access voicemail and use the company directory.

It is also worth setting clear expectations. Not every employee needs to receive all calls on their mobile. Define which teams are on the emergency roster, the hours they cover, and how calls will be shared so one person is not overwhelmed.

For businesses handling sensitive customer information, security must remain part of the arrangement. Use strong account credentials and multi-factor authentication where available. Schedule a short test at least annually, and after significant changes to your phone system, staff structure or office locations. Test realistic scenarios rather than only one technical function. What happens if the office loses power but staff mobiles work? What if the internet is available but the building cannot be entered? What if the receptionist is unavailable during the same event? Each scenario reveals a different dependency.

Record what worked, what took too long and what confused staff. Update call groups, mobile numbers and escalation contacts straight away. A recovery plan is a living operational document, not a compliance exercise to file away.
